Zapier Pricing Explained: Plans, Task Costs and Hidden Limits

Published: 7 min read

Zapier is one of the best-known no-code automation tools, but its pricing confuses many buyers because the price depends on a “task” allowance rather than on seats or workflows. This guide explains each plan, how tasks add up, and when another tool may cost less. Figures come from Zapier’s public pricing page as of October 2026 and can change.

How much does Zapier cost?

Zapier has four plans: Free ($0), Professional (from $19.99 a month billed annually), Team (from $69 a month billed annually) and Enterprise (custom quote). Pro and Team prices depend on how many tasks you select per month, so the “from” price is only the entry tier.

PlanStarting priceTasks per monthBest forKey limitation
Free$0100Trying automation soloTwo-step Zaps only, 15-minute polling
Professional$19.99/mo annual, $29.99/mo monthly750 up to 2,000,000Individuals needing the full platformOne user; no shared workspace
Team$69/mo annual, $103.50/mo monthly2,000 up to 2,000,000Teams building togetherStarts at 2,000 tasks

Annual prices are the per-month equivalent billed yearly. Zapier states that annual billing is 33% cheaper than paying monthly.

What counts as a task in Zapier?

A task is an action that Zapier completes for you after a trigger fires. In general, the trigger itself does not use up your allowance, but each successful action step does, so a Zap with several action steps consumes several tasks every time it runs. Check Zapier’s own help documentation for edge cases such as filters and paths before you size a plan.

This is the number-one reason bills surprise people. A five-step Zap that runs 400 times a month can use far more than 400 tasks. Before you pick a tier, multiply the number of action steps by the number of runs.

What do you get on the free plan?

The Free plan gives you 100 tasks a month, unlimited Zaps, Tables and Forms, but only two-step Zaps (one trigger plus one action) and a 15-minute polling interval. It includes one seat, a daily-limited Copilot, 2,500 Table records and 10 form pages per account, plus basic access to Agents, Chatbots, Canvas and MCP, according to Zapier.

It is enough to test whether automation fits your workflow, for example forwarding form submissions to a spreadsheet. It is not enough for anything customer-facing, because slow polling delays your triggers.

What does the Professional plan add?

Pro adds multi-step Zaps, 2-minute polling, unlimited premium apps and webhooks, filters, Paths, Formatter and global variables. It also includes AI by Zapier, pay-per-task billing, a static IP, email support (live chat on tiers of 2,000 tasks and above) and one month of version history.

Typical Pro prices billed annually, per month, are:

Tasks per monthPro (annual)Pro (monthly billing)
750$19.99$29.99
2,000$49$73.50
5,000$89$133.50
10,000$129$193.50
50,000$289$433.50

The price per task falls as volume grows, but the monthly bill rises quickly for high-volume workflows.

When do you need the Team plan?

Choose Team when several people must build and maintain Zaps together. It adds up to 25 seats, a shared workspace with shared app connections, folder permissions, SAML SSO, an audit log (six months), 1-minute polling, priority support and six months of version history.

Team starts at 2,000 tasks, at $69 a month billed annually or $103.50 billed monthly. Enterprise adds unlimited seats, SCIM provisioning, advanced admin permissions, log streams and a technical account manager, with annual rather than monthly task limits.

What happens when you exceed your tasks?

If pay-per-task billing is on, overage costs 2.5 times the base task rate on monthly plans and 1.25 times on annual plans, and usage stops at 3 times your subscription until the next billing cycle. If it is off, automations pause when you hit the cap. This is the main hidden cost, so set an alert and review usage monthly.

Zapier also notes that prices are set in USD and converted at payment time, so non-USD charges can vary between billing periods. That matters if you pay in euros or another currency.

Are there cheaper alternatives to Zapier?

Yes, depending on your workload. Make advertises a free plan with 1,000 credits per month, and n8n offers cloud plans from €20 a month billed annually plus a self-hosted Community Edition. Each tool meters usage differently, so compare them using your real workflow, not headline prices.

n8n Cloud€20/mo (annual)Self-hosted Community EditionWorkflow executionsSelf-hosting needs technical skill

n8n counts one execution per full workflow run regardless of the number of steps, which can favour long workflows. Make’s free plan includes 1,000 credits per month, 1 MB of data storage and one data store. For Make’s paid tiers, check its pricing page, because published figures differ between sources and billing periods.

How do you choose the right plan?

Start with the Free plan or the 14-day Pro trial, measure your real task usage for two weeks, then choose the smallest tier that covers it with some margin. Pick annual billing only after your usage is stable, since the saving is large but you are committing for a year.

A simple checklist:

  1. List each automation and count its action steps.
  2. Estimate monthly runs and multiply by action steps.
  3. Add a 20–30% buffer for growth.
  4. Compare the annual and monthly price at that tier.
  5. Price the same workflow in Make or n8n before committing.

If you only need a few simple automations, Zapier’s Free or lowest Pro tier is usually enough. If you run thousands of multi-step workflows, test an execution-based tool before scaling. For more on that model, read our guide to n8n pricing explained.

What are the pros and cons of Zapier’s pricing model?

The main advantage is simplicity: you choose a monthly task volume, and the feature set depends on the plan, not on how many apps you connect. Pro includes unlimited premium apps and webhooks, so you do not pay extra for connecting a CRM or a database. The main drawback is that the task meter grows with every action step, so a growing business can see costs rise faster than its team.

Pros:

  • A real Free plan for testing, with no credit card needed for the 14-day Pro trial.
  • Predictable tiers published on the pricing page, from 750 up to 2,000,000 tasks.
  • Team features such as SSO, shared connections and audit logs are available without a custom contract.
  • Annual billing is 33% cheaper than monthly billing, according to Zapier.

Cons:

  • Cost scales with steps and run frequency, not with business value.
  • Free is limited to two-step Zaps and 15-minute polling.
  • Overage is charged at a premium if pay-per-task billing is on.
  • USD pricing converted at payment time can shift your cost if you pay in another currency.

Which plan fits which type of team?

Match the plan to how many people build automations and how often the workflows run, not to company size alone. A freelancer with a handful of simple Zaps fits Free or the 750-task Pro tier. A marketing or operations team of several builders needs the shared workspace and SSO that start on Team. A company with security reviews and many departments will normally land on Enterprise.

SituationSuggested starting pointWhy

Solopreneur with multi-step flowsPro, 750–2,000 tasksMulti-step Zaps and faster polling

What should you check before you subscribe?

Confirm four things on the live pricing page: the tier price for your task volume, whether pay-per-task billing is on by default for your plan, the polling interval your triggers need, and the number of seats you require. Then run the 14-day trial on your real workflows and compare your actual task count with the plan you selected.

Finally, note the cancellation and downgrade rules in your account settings before you commit to a year. Automation costs tend to creep upward as teams add workflows, so schedule a quarterly review of task usage and remove automations nobody uses.
